Many vehicle trips involving volunteers take place in minibuses or crewbuses, but the following applies to all other vehicles as well. Every vehicle has two legal maximum weights the Gross Vehicle Mass (GVM) which is the maximum permitted weight of the vehicle and its contents including people and the Gross Train Mass (GTM) which is the maximum permitted weight of the vehicle, any trailer and the combined contents. Minibuses usually carry this information on a metal plate near the front passenger door. In order to work out how much weight you can carry you need to know the actual weight of the empty vehicle. This might be obtained from the manufacturer's handbooks, but beware of any weight increase following modifications from the factory specification. If in any doubt check at a public weighbridge. It is easily possible to overload a minibus with people and tools.
